Rent Microsoft Exchange

Corporate mail can perform not only target tasks, such as sending and receiving letters, but also carry out many opportunities for the successful operation of the company. Microsoft Exchange Online is a user-friendly format of a well-proven system that is used by many companies around the world. The postal system helps to efficiently conduct business, manage resource allocation, plan events, and establish intra-corporate communication. Mail is no longer just mail.

Microsoft Exchange Server 2016 is latest solution for corporate mail and interaction between employees. Exchange Server has become almost the standard for corporate mail systems. From our own experience, we can say that over the past 3 years, LanKay has completed more than one project to migrate to Exchange Server from products such as IBM Lotus Domino, Alt-N Mdaemon, various Linux-based servers, and hosting providers. At the same time, for all the time there was not a single request to switch from Exchange Server to something else.

Why are more and more customers choosing Microsoft Exchange, and what is its main difference from the competition?

For quite some time, company employees have needed more than just sending and receiving email. Users want to have a contact base of colleagues and clients, they want to schedule appointments and meetings, management wants to assign tasks to subordinates and monitor their implementation. A dynamically developing business requires a quicker response to customer requests, so employees need access to mail not only at the workplace, but also from home, while on a business trip or even on the road. At the same time, the requirements for information security are constantly being tightened. Management wants to make sure that confidential correspondence does not fall into the hands of strangers, and employees want to receive less spam and viruses. Large companies require that employees of all branches have the same corporate mail functionality and can easily move between offices. Implementation of Exchange Server 2016 will help to solve all these problems.

Microsoft Exchange Server 2016

Microsoft Exchange Server 2016 is a business-class corporate email system that, in addition to the capabilities of the mail server, provides users with a wide range of collaboration tools, such as: calendars, tasks, shared contacts and address books, public folders accessible through Outlook, in which they can various general documents and mail can be posted.

Role structure of Exchange Server 2016

Implementing Microsoft Exchange Server 2016 will provide the following benefits:

1) Unified user experience. A single interface on a computer and a browser. The new Outlook Web App (OWA) provides an interface similar to regular Outlook that all users are accustomed to. Now full access to mail can be obtained through the browsers Internet Explorer, Firefox and Safari. By implementing Exchange Server 2016, employees will have a single mailbox for email, voice mail, fax, and SMS. You can listen to your voicemail directly through Outlook. Each user can set up their own autoresponder.

MS Exchange Web Access from Outlook Web App (OWA)

2) Improving user productivity. Every day, users have to process dozens or even hundreds of emails, which takes a lot of time. A lot of time is spent looking for the desired letter, it is difficult to find who wrote to whom and when. With a large number of letters, it becomes difficult to trace the correspondence. The new OWA in Exchange Server 2016 (as well as Outlook 2016) groups messages into message threads and instead of a dozen messages received at different times and scattered around different folders, displays only one item. By expanding this element, the user sees all the correspondence at once.

An example of grouping messages into a thread

In addition, when creating a letter, the user is given special hints (MailTips). When creating a new message, information is displayed about possible restrictions on the size of the letter, if the user has exceeded it, information about the availability of contacts to whom the user is sending a letter, prohibitions to send to these recipients, etc. Previously, when a user, for example, sent a letter that was larger than the allowable size, then the letter was sent from Outlook, then the mail server, receiving too large a letter, deleted it, and then sent a notification to the user about the error and the failure to deliver the letter. Users, in turn, without reading the essence of the error, began to call the support service. As a result, while the problem was being solved, it took a lot of time, and an important letter could not reach the recipient for a long time. Now, when creating a letter, the user can see whether it complies with the rules and policies and whether it will be delivered without errors.

Example of a hint about the size limit for attachments

Thus, thanks to the implementation of Microsoft Exchange Server 2016, company employees will be able to save up to 20% of the time spent on mail processing.

3) Ubiquitous access. Exchange Server 2016 provides users with truly ubiquitous access, regardless of whether a person is in the office, at home, on a business trip or on the road, he will always be able to receive and send mail, make and receive appointments in the calendar, view contacts of clients and colleagues. In the office, the employee works with his regular Outlook, at home he can use Web Access (OWA) or, again, use regular Outlook using Outlook Anywhere. Likewise, the user can connect to mail from any Internet cafe or hotel. In this case, the person does not need to configure any VPN connections, and all traffic will be encrypted. In addition, Exchange 2016 allows you to work with mail using a regular phone. You can simply call Exchange Server 2016, dial the pin code in tone mode, and listen to your incoming mail (Exchange will read it by voice), accept or reject appointments in the calendar, and even find people in the address book. This feature is called Outlook Voice Access (OVA).

4) Mobile access. The mobile access provided by Exchange Server 2016 requires a separate mention. Developed by Microsoft technology ActiveSync has become the standard for email access since mobile devices... This protocol allows employees to see all their corporate mail, contacts, calendar and tasks right on their mobile device. At the same time, thanks to DirectPush technology, users do not need to check their mail manually, it comes to the device itself, similar to how an SMS is received. As soon as a new letter arrives at the corporate mailbox, it immediately appears in mobile phone... Also, synchronization of phone contacts and your contacts on the Exchange mail server takes place. ActiveSync is supported by almost any smartphone or communicator on Windows based Mobile, Symbian, iPhone OS. So, for example, you can use HTC smartphones, Samsung, Nokia, Apple iPhone, Sony Ericsson, Motorola, Gigabyte, Asus, HP, Acer and others. Employees can travel around the world, staying in touch, receiving and processing e-mail messages. In addition, using communicators based on Windows Mobile 6.1 and later, users can send and receive SMS messages directly from Microsoft Outlook 2016 or OWA.

5) Protection of information. Exchange Server 2016 provides ample opportunities on the protection of e-mail. Exchange is built from the ground up to use the most secure means of authenticating domain users. Interaction with the Active Direction directory service is performed using the Kerberos protocol. For more safe work smart cards or biometric authentication systems can be used. Everything external communications, access via the WEB or using mobile devices are encrypted using the SSL protocol. In addition, users can use S / MIME to encrypt and sign e-mail messages themselves. Encryption is available both from Outlook and via WEB or mobile access. Microsoft Exchange Server 2016 supports Information Rights Management (IRM) technology, which helps protect confidential Microsoft documents Office. With the help of IRM, you can, for example, prohibit the transfer of confidential documents outside the enterprise, prohibit their viewing and printing to persons who do not have the right to do so. In addition, mailbox retention policies for emails can be set for all users of the enterprise, so that employees cannot delete their emails (in whole or in part) for some time or other rules. Exchange 2016 allows administrators to search all mailboxes at once, which can be very useful, for example, when investigating information security incidents. Exchange 2016 provides email moderation capabilities. If a user sends a letter that meets certain criteria, then it will not reach the recipient until it is approved by the system administrator or another responsible person.

6) Antivirus and antispam protection. Exchange Server 2016 has quite good anti-spam features already in the basic configuration. But the main advantage of Exchange is that many very good antivirus and antispam products have been developed for it. This is where GFI MailEssentials and GFI MailSecurity stand out. The main advantage of the last two antivirus products is that several antivirus engines can be used simultaneously to scan e-mail. Among them: Kaspersky, McAfee, BitDefender, AVG Antivirus, Norman, etc. In addition, anti-virus scanning can take place at three levels: on edge servers (Edge Transport), on internal routing servers (HUB Transport) and on database servers (Mailbox) ... Thus, Exchange Server can provide best-in-class email antivirus protection. And according to statistics, it is e-mail that is the main source of the spread of viruses.

All of the above speaks of the great benefits of implementing Exchange Server 2016 from the user's point of view. But MS Exchange brings many benefits hidden from the eyes of users.

High degree of integration into infrastructure

Exchange Server 2016 is a highly integrated communications platform. And if your company's IT infrastructure is built on Microsoft software, then you will get the maximum benefits, maximum security, and the greatest ease of management. Exchange relies entirely on directory service (domain) Active Directory, you do not have to create users in the domain and on the mail server 2 times separately. System administrators do not have to configure user workstations, Outlook 2013 and Outlook 2016 will connect to the Exchange server by themselves and will be configured automatically using Autodiscover services. Exchange Server 2016 integrates with Forefront Threat Management Gateway 2013 (formerly ISA Server) to provide the highest level of security against external threats. Exchange integrates with products such as Microsoft CRM and SharePoint, while Microsoft Exchange Server and Microsoft Office Communications Server is a powerful Unified Communications solution.

Unlimited scalability

Exchange Server 2016 has virtually unlimited scalability and can host hundreds of thousands of users under a single mail domain. An organization can have an unlimited number of mail servers, the servers themselves can be scattered geographically all over the world, each of the servers can contain mailboxes of different users. Moreover, administrators do not have to configure mail routing, Exchange will do this automatically based on the topology of Active Directory sites. Like Exchange Server 2013, Exchange 2016 has a role-based model that allows even more load balancing and increased administrative flexibility.

High availability and fault tolerance

Email is a critical service for almost every company, but for some companies, mail is a service that business processes directly depend on. Even an hour of downtime for email can cost tens or even hundreds of thousands of dollars. These companies include banks, stock exchanges, insurance companies, and many other businesses in the financial and manufacturing sector. To ensure the availability of the corporate mail system in 24/7 mode, LanKay implements Exchange Server 2016 clusters, which ensure availability 99.999% of the time or more.

Starting with Exchange Server 2007, there were powerful clustering and replication technologies (CCR, SCR, LCR, and SCC). In Exchange Server 2016, all of these technologies have been replaced by one more advanced technology - DAG (Database Availability Group). This technology allows you to replicate mail databases between cluster nodes. And in case of failure hard disk, an array, or even an entire server containing an active database, the passive copy will instantly go into operation. At the same time, users will not experience a single second of downtime, they will not even know that the mail server is out of order, and will calmly continue to work.

Example of an Exchange Server 2016 Resilient Infrastructure

The main difference between DAG and previous technologies, such as CCR, is that each active database can have up to 16 passive (backup) copies, all cluster nodes can be active, can contain several active and several passive copies of mail databases. Now, even when using a DAG with the Mailbox role, you can install the Client Access, HUB Transport, and Unified Messaging roles.

Reduced hardware, software and service costs

As paradoxical as it may seem, but even if you have already deployed Exchange Server 2013, or even more so Exchange Server 2007, the transition to Exchange Server 2016 will save direct hardware costs, software and IT infrastructure support.

Reduced equipment costs. In Exchange Server 2016, the disk I / O system has been significantly redesigned. Thus, it was possible to reduce the load on the disk subsystem by 75% compared to Exchange Server 2007, and by 50% compared to Exchange Server 2013. And if previously expensive RAID 10 disk arrays based on SCSI or SAS disks were required for the mail database, then now you can do with simple SATA drives, combined into RAID 5 arrays. In addition, previously, building an Exchange Server 2003 cluster required a SAN and iSCSI or FC disk arrays, which cost tens of thousands of dollars. Also in such a cluster there was a single point of failure - this is the disk array itself. It was possible, of course, to purchase fault-tolerant arrays with hardware data replication, but these are already prices of the order of hundreds of thousands of dollars. All of this is no longer required if you are deploying a cluster based on Exchange Server 2016. DAG technology itself provides data replication, and does not require a SAN or shared disk array at all. And as a quorum, a simple a shared folder... But even if we take a CCR cluster based on Exchange Server 2007, it turns out that one server is active and the other is passive. Those. you bought 2 powerful servers, and 99% of the time only one worked, and the second was simply idle, consuming electricity. In Exchange Server 2016, when using a DAG, all servers are running concurrently and are active.

Reduced software costs. Previously, to build an Exchange Server 2007 cluster, it was required to purchase at least 2 Exchange Server 2007 Enterprise Editions, costing about $ 4000 each, for the Mailbox role and 2 Exchange Server 2007 Standard Edition costing $ 700 each for the Client Access and HUB Transport roles. An Exchange Server 2016 cluster can now be built on top of Exchange Server 2016 Standard Edition. In addition, now all roles can be combined on one server, and in fact a cluster can be built by purchasing only 2 Exchange Server 2016 Standard servers for $ 700 each (when using a software or hardware load balancer for the Client Access role).

Reduced maintenance costs. As mentioned above, Exchange Server 2016 has a number of tools that take the burden off sysadmins. For example, Mail Tips inform the user about problems or possible errors, even when creating a letter, before sending it. This can significantly reduce the number of support calls. By implementing MS Exchange Server, users themselves will be able to recover erroneously deleted messages without contacting the system administrator to restore their letter from backup... In Exchange Server 2016, a special ECP (Exchange Control Panel) control panel has become available to each user, which allows users to change their domain password, view delivery reports for messages sent and received by them, create and manage distribution groups, and also manage their smartphones. And all this can be done without the participation of a system administrator. Every day, the support service receives requests that the employee was sent a letter, but it did not reach, or, on the contrary, the user sent a letter to the client, but he did not receive it. In Exchange Server 2016, users can view the DSR for themselves and see what happened to their email. It is often difficult to get and control that employees use the standard corporate email signature form. In Exchange 2016, system administrators can configure dynamic signatures for email messages for all employees at once. For example, you can delegate the management of contact information to HR staff.

Implementing Microsoft Exchange Server 2016

Exchange Server 2016 is a fairly complex product, and implementation, contrary to some opinions, is somewhat more difficult than running setup.exe and a few clicks of the Next buttons. Deploying Exchange Server 2016 across an enterprise with a large number of users and big amount branches require certified professionals with extensive experience in similar projects. In addition to the development of the infrastructure of MS Exchange servers itself, appropriate planning of the structure of the Active Directory domain, site topology is required. Exchange relies heavily on domain controllers and global catalog servers to function. When developing failover cluster configurations, you need to take into account a huge number of factors that affect the performance of the mail system. Because creating a system that does not have a single point of failure is not an easy task. And you need to understand that just a deployed cluster of Exchange Server 2016 is not a panacea for all problems. So, for example, you can invest several thousand dollars in building an Exchange cluster, and your system will be disabled for a day by a burned-out switch or UPS. It is for these reasons that companies assign the task of deploying Microsoft Exchange Server to system integrators. But here one must not be mistaken, not all system integrators can properly deploy a corporate mail system based on Exchange Server. You should make sure that the system integrator is certified to perform this type of work, and also make sure that he has a portfolio of successfully completed similar projects.

LanKay is a certified system integrator, is a Microsoft Gold Certified Partner and has Gold Messaging competence, which confirms our highest experience and professionalism in the implementation of Exchange Server 2016. Microsoft certified engineers with MCSE Messaging statuses participate in projects and MCITP Enterprise Messaging Administrators.

LanKay also offers migration services to Exchange Server 2016 from previous versions and other mail systems such as Novell GroupWise, IBM Lotus Notes or Linux-based mail servers. Exchange Online is a cloud service offered by Microsoft as part of its Office 365 product. Like other Office 365 services, it was designed to provide customers with reliable, resilient IT services that eliminate costly and insecure on-premises IT deployments. Exchange Online provides Single Sign On, synchronizes with Active Directory, provides great scalability and re-configuration — cost-effectively and painlessly.

Microsoft Exchange Online enables organizations to leverage the capabilities of Exchange without on-premises deployment and maintenance, or a combination of on-premises and online services if necessary, hybrid deployment. For example, in large industrial enterprises, some of the equipment requires local placement of services, and computers that are not involved in production can be serviced in the cloud.

Exchange Online features and benefits

Overall, Exchange Online has almost all of the same benefits as others. cloud services Office 365:

Data transmission security

Microsoft uses ultra-reliable data security methods in its cloud solutions:

  • SSL (Secure Sockets Layer - secure socket layer) Is a protocol that provides secure connection between client and server. The confidentiality of data exchange is ensured by means of encryption with a special algorithm. Anyone who intercepts data transmissions receives a highly encrypted code.
  • TLS (Transport Layer Security - transport layer security) - modernized version SSL protocol... This protocol additionally uses special algorithms to ensure the confidentiality and safety of the information flow.

Penetration control

Microsoft monitors any suspicious activity in the cloud that could be an infiltration attempt. For each such fact, an internal investigation is carried out. If the penetration actually occurred, the company notifies the client and takes appropriate measures to minimize risks and compensate for damage.

Security audit

Microsoft keeps your infrastructure highly secure with the latest antivirus subscriptions and regular security updates.

Continuous data access

Everything Microsoft services Office 365 guarantees 99.9% data access anytime, anywhere in the world where the Internet is available. If the agreed quality level (SLA) is not met, Microsoft will indemnify the customer for financial damage.

User Mailbox Data Limit Alerts

Exchange Online provides three notifications to users when their mailbox is nearing their limit:

A warning

Users receive a warning email.

Ban on sending mail messages

Users receive an e-mail informing about the effective ban on sending correspondence from this mailbox, due to the fact that the amount of data on it has approached the maximum allowable value. The user will receive a corresponding non-delivery report (NDR) from the system.

Ban on sending and receiving mail

Exchange Online rejects incoming mail when the data limit is reached in a user's mailbox. Users will not be able to send or receive correspondence until they free up a certain amount of mailbox.

* Remote PowerShell allows Office 365 administrators to change the default quotas, which trigger one of three alerts and the restrictions apply.

The following table lists the default mailbox limits:

Message size limits

Limits on the size of messages are necessary to prevent the impact of forwarding bulky messages on system performance and to ensure fast delivery for all users. The message size limit is a default, set global variable that applies to all messages, both incoming and internal. It is 25 MB.

* The value of the message size limit does not change, but administrators can additionally create a transport rule that limits the maximum size of a file attachment.

Limits on the number of messages

Exchange Online provides for limits on the number of messages and letters sent: messages to no more than 10,000 recipients can be sent from one mailbox, emails can be addressed to no more than 500 recipients per day. These limits are set for both internal and external correspondence.

* A mailbox group in the Exchange Online GAL is counted as a single recipient by the system, but in personal groups, each recipient is counted separately.

Exchange Online customers who need to send mail of correspondence (for example, a newsletter) should contact third-party providers of these services.

To prevent excessive consumption of system resources, Exchange Online also limits the number of messages a user can send in a minute to a maximum of 30 messages. If the limit is exceeded, then Exchange Online will forward messages, but adjust the rate of delivery: they will be queued for sending on the server.

To set up mail you need:
